Privacy Policy

Volt Time B.V., trading as Plugchoice (KvK 77488873, De Entree 99, 1101 HE Amsterdam, support@plugchoice.com) is the data controller for the processing described here. This policy covers the Plugchoice platform, apps, portal, API and websites, including partner-branded (whitelabel) versions of the portal and app, which run on the same platform.

1. What we collect

  • Account data: name, email, sometimes phone number, language, team memberships.
  • Location data: the address of a charging location and its configuration (fuse size, meter setup, solar presence), entered by you or your installer.
  • Charger and session data: charger identity, brand and model, connection status, full OCPP communication logs, meter values, session start/stop, energy delivered, error data, firmware version.
  • Charge card data: RFID card identifiers presented at connected chargers, including cards of people without a Plugchoice account (see section 6).
  • Connectivity data: for chargers using our SIM connectivity, network data that can indicate the charger's approximate location.
  • Payment data: handled by our payment provider Stripe; we receive payment status and invoice data, never full card numbers.
  • Support data: your conversations with us (chat, email) via Intercom.
  • Website data: see the Cookie Policy (Google Tag Manager, Apollo.io visitor tracking).
  • Operating the platform, your account and your chargers: performance of our contract with you.
  • Billing, payouts, invoices: contract and legal obligations (tax, bookkeeping).
  • Support and troubleshooting, including temporary diagnostic access to your configuration: contract and our legitimate interest in resolving issues.
  • Security, abuse prevention, logging: legitimate interest.
  • Product improvement and statistics using aggregated or anonymized data: legitimate interest; results no longer identify you.
  • Marketing emails about Plugchoice features: consent where required, opt-out always available. We do not sell your personal data.
  • Website analytics and lead tracking: consent via the cookie banner.

3. Sharing with parties you connect

When you connect your charger to a third-party service (a charging operator, an ERE booking service, an integration via our API/OAuth), we forward the data needed for that service on your instruction. From that moment, that party is independently responsible (controller) for its use of your data; its own privacy policy applies. You can see and revoke every connection in the platform.

4. Sharing with partners (whitelabel)

If your installer or operator manages your charger as a Plugchoice partner, that partner can access data about the location and chargers it manages (including your name, email, address, charger and session data) to provide its services to you. The partner is independently responsible for its own use of that data. Partner branding does not change that we operate the platform and hold your data.

4a. Sharing within your location and teams

Locations on the platform have teams and members. Depending on their permission level, members of your location can see location details (address, chargers, configuration) and, with extended permissions, session data and the names and email addresses of other members. The location owner manages who has which access; during support we may temporarily extend diagnostic access (see section 2). Invite only people you trust, and review your location's members periodically.

5. Our processors (subprocessors)

We use service providers who process data on our instruction: EU-based hosting (data centers in the EU), Stripe (payments), Intercom (support), Jibe Company (OCPP proxy infrastructure), Sentry (error logging) and Hologram (SIM connectivity for chargers using our SIM service; session and approximate cell-tower location data). Our websites additionally use Google (Tag Manager/analytics) and Apollo.io (visitor tracking) as described in the Cookie Policy. Where a provider processes data outside the EEA (such as US-based Stripe, Intercom and Sentry) we rely on EU adequacy decisions (including the EU-US Data Privacy Framework where certified) or Standard Contractual Clauses.

6. Charge cards of people without an account

Chargers report the identifier (UID) of every card presented, including cards of guests or other providers' customers. We process these UIDs to authorize or reject charging and to show the charger owner their transactions, based on our and the charger owner's legitimate interest. UIDs are not linked to a name unless the cardholder or owner adds one, and are retained as part of the charger's transaction records (section 7).

7. Retention

We keep data no longer than needed: charger, session and transaction data for as long as your account and charger connection are active, with a maximum of 10 years per record, after which it is deleted or anonymized (and at least 12 months where a partner arrangement requires it); after account deletion, personal data is removed within 30 days, except invoicing and billing data, which we keep for 7 years (tax law), and data we must retain under other legal obligations. Support conversations are kept as part of your account history and follow the same deletion rule.

8. Your rights

You can access, correct, receive, restrict, object to, or delete your data. Deleting your account removes personal data except what we must keep by law. All requests via support@plugchoice.com. You can complain to the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

9. Security

We protect data with technical and organizational measures including encrypted connections (TLS) for the portal, apps and API, role-based access control, two-factor authentication and backups. Report vulnerabilities per our Responsible Disclosure policy.

10. Children

The platform is meant for people of 16 and older. We do not knowingly process data of younger children without parental involvement.

11. Changes

We can update this policy; material changes are announced in the app or by email before they take effect.
